Student Records Deactivation/Reactivation

MONTGOMERY COLLEGE
Office of the Senior Vice President for Student Services

May 23, 2013

MEMORANDUM

To:                   Montgomery College Community

From:               Melissa Gregory, Chief Enrollment Services and Financial Aid Officer

Subject:           Student Records Deactivation and Reactivation Processes

I am writing to share a new procedure that will take effect June 2013.  Enrollment Services will deactivate the records of credit students who have not enrolled at the College in the last four years. This action will take place annually at the end of each spring semester. WDCE students will not be impacted.
The deactivation process will not purge student records.  No admission, academic, counseling, financial or advancement data will be lost.  The process is designed to place a registration hold of IS (Inactive) in Banner for each affected student.  Students with the IS code will not be able to register for classes until their records are reactivated. This will enhance our data integrity and administrative efficiency by providing a means to remove inactive students, when necessary, from various College processes.
The reactivation process does not require the completion of a new admission application, but does provide us the opportunity to collect updated demographic information immediately upon the student’s declaration of intent to return to the College. Returning students will be asked to complete a Student Reactivation form which will be available in the near future athttp://cms.montgomerycollege.edu/EDU/Department2.aspx?id=10072. Once the form is received and processed by Enrollment Services, the student’s status will be updated to AS (Active) in Banner and eligibility for registration will be restored unless other academic, financial or student conduct holds exist.
If you have any questions about this process, please contact Ernest Cartledge, Assistant Director of Enrollment Services and College Registrar, at x77991.

LIMITED ENROLLMENT PROGRAM INFORMATION - The only change to the LEP policies is with

the specific courses and grades required. Students who were admitted directly as freshman in the fall of 2013 or afterwards will undergo an Academic Review at 45 credits and must have:

Feel free to contact Christie Cradock at 301-405-4555 or ccradock@umd.edu or the pre-transfer advising office at transferadvising@umd.edu or 301-405-9449 at any time with questions regarding these policies.  We hope that you will find this information helpful when working with your students seeking to continue their education at the University of Maryland.

Senior Testing in the High Schools - Summer 2012

As an FYI, The High School Accuplacer Program for graduating seniors has begun in 15 high schools. Eligible students may take the test (through the Academic Initiatives site) at their school. Once they test, they are then referred to a MAP session as their next step.

This is for first time test takers only, who are scheduled to take the Accuplacer exam. Those students who have already tested all parts of the Accuplacer OR are assigned the ESL Accuplacer are referred directly to a counselor/MAP session and are not eligible to test in the schools.
Additionally, per the MOU, MCPS has submitted college ready test scores from students who tested through their site license. If only parts of the test show in banner then that means that the student did not test college ready in the area missing. Also, if a student stated they tested between October and March then they more than likely took the test through MCPS. If partial or no scores are in the system than that means they did not test college ready in that section and must take the test at MC.

Here are the list of schools that participate.
BCC High School - FY 13
Blake - FY 13
Damascus High School - FY 13
Einstein High School - FY 13
Gaithersburg High School - FY 13
Kennedy High School - FY 13
Northwest - FY 13
Northwood High School - FY 13
Paint Branch High School - FY 13

Change in MTAP Students Taking Courses

Dear Colleagues,

I need to relay an important update regarding students who will be accepted into MTAP as of fall 2013. The renewal of the MTAP program is currently underway.  In the past Maryland has been flexible about students taking classes at UM after taking 15 credits at MC but now they are enforcing that students complete "15 credits while an MTAP student".

Essentially UM does not want students trying to take classes as soon as they are admitted to MTAP because they will not know they are admitted until at least mid/late June (depending on when the students gets enrollment verification from UM) and Maryland does not want to set the student up for a registration of rush/closed classes since the course interest deadline is August 1st. Our response was a suggestion to move the deadline up for MTAP students that want to take classes their first semester as MTAP but we haven't heard yay or nay on that one yet.

Please make sure that it is clear to students applying for the MTAP June 1st deadline that they will have to wait until they take 15 credits as an MTAP student prior to them being able to take a course at Maryland under the MTAP benefit. This is a contradiction to what I have been telling you in the past so please note this and pass it along to students and advisors.

This is another reason why it is important to encourage students who are interested in attending Maryland University to apply to MTAP their first semester here at MC.

For more clarification you can see UM’s FAQ’s: http://www.admissions.umd.edu/page_documents/MTAP_FAQ_5-2013.pdf

Discontinued Use of the University of Maryland Core Sheet from the MC Transfer Website

Dear Colleagues,

After discussion Anne Schleicher and I have decided it is best to stop using the University of Maryland Core sheet that has been developed for use with students who started college prior to fall 2012.  We are now advising students who started college in fall 2012 to complete our general education program and use the chart on the MC Transfer website http://cms.montgomerycollege.edu/EDU/Plain.aspx?id=44793.   The chart is titled
“Catalog Year 2013 - 2014 - For students starting MC Fall 2013 and after (.pdf) Word”

For students who started college before fall 2012 it is easiest to also have them follow this same chart but to be sure to advise them they must complete either a history or literature course for a humanities distribution for transfer.

It is less confusing for the students to use the MC general education chart especially since some of the courses on the Core sheet are not included on our distribution course lists and therefore a student may take a course that transfers but does not count for graduation here at MC.  We want to lessen confusion regarding graduation requirements and promote completions.

Please remove all the UM Core sheets from the Counseling/Advising and Career Transfer Centers and make sure you have printed copies of the general education chart.  I have also attached a copy of the chart for your convenience.   Thanks for all of your assistance in assuring that students get the correct transfer information.

MA 116A Advising

As this was the first year of offering MA 116A, the Math Department has encountered problems with underprepared students. We are finding that many students take it in order to take the shorter path, even though they admit they are not good in math.

We are looking at data to determine whether we should change the cut-off score or require department permission, but until we do, students may register with a C in MA 094 or Accuplacer score of 62.

PLEASE… Before you advise students to take MA 116A, look at their academic record. If it has taken them more than one attempt at MA 094 to complete it, they are probably not a good candidate. If they test into MA 097, make sure they have had HS Algebra II. Please explain to them the nature of this course. MA 116A is a combination of 2 courses: MA 097 and MA 116.

Students MUST pass the algebra competency after 5 weeks in order to continue on to the statistics portion of the course. Only students with a likelihood of success should be recommended for this course.

Another note: If students who fail MA 116A then take MA097 and MA116, the MA116 grade will replace their MA116A grade.

If you have any questions, feel free to contact me, Ben Nicholson or Stephanie Pepin at RV or the Chair on another campus.

Thank you for taking the time to read this and advise our students carefully,

Professor Susan King
Chair, Mathematics Department
