Final Grade of WC - In Regard to Academic Regulation 4.9 - Repeated Courses

Hi Everyone,

Several of us received varying information in regard to final grades of WC; thank you for your patience as we sought clarification on how final grades of WC are to be interpretated, specifically as they pertain to Academic Regulation 4.9 – Repeated Courses.

We confirmed with Ernest Cartledge, Director of Records & Registration and College Registrar that a final grade of WC does count as an attempt as it pertains to our academic regulation on repeated courses.

If a student has attempted a course twice and their second attempt was a final grade of WC, you will need to enter a RPT override for a third attempt…as you normally would (same as grade of W).

If a student has attempted a course three times and their third attempt was a final grade of WC, you will need to guide the student through the academic appeal process for a fourth attempt, just as you normally would (same as grade of W).

Banner is coding WC’s as attempts, so it is coded/functioning correctly.

The benefit of a final grade of WC is primarily for students that receive Financial Aid. Final grades of WC are not being included in the SAP pace of completion calculation. As an FYI, if a student appeals and changes a W to a WC at this point, the student will have to request SAP reinstatement from the financial aid office (as the SAP process already ran). Financial Aid will run that individual student’s SAP again when they self-identify.

We hope this helps clarify. We’ve Ccd the dean’s, registrars, financial aid and academic affairs leadership so everyone is on the same page about how this was meant to be interpreted. Please feel free to share with others as appropriate.

Thanks so much!

Options for Final Grades, Spring 2020

Faculty Members:

As part of the grade submission process, in addition to the regular final letter grades assigned based on the assessment of student work, you may:

  • Assign an “I” grade in consultation with the student if the student needs more time to complete the course work, not as a result of the COVID-19 crisis. The work must be completed by the 4th week of the fall semester.
  • Assign an “IC” grade in consultation with the student in cases where the COVID-19 crisis has interrupted the student’s work. The student must complete the work by the end of the spring 2021 semester.

The Incomplete contract will be used for both the I and IC grades.

Students:

Before the final grade is submitted, you may:

  • Withdraw from the course with a “W” using the registration page for situations that do not involve the COVID-19 crisis. The deadline for most courses is April 19, 2020. You can view the deadline for your specific course(s) in MyMC by selecting “View My Class Schedule,” then “View Drop Deadlines & Booklist.”
  • Request an involuntary withdrawal from the course due to the COVID-19 crisis, for a “WC” on your transcript. In your personal statement, explain the impact of the crisis on your ability to complete the course. Documentation may be required on a case-by-case basis.
  • Discuss an “I” or an “IC” grade with your professor.
After grades are submitted, you may submit an academic appeal to change your final grade to
  • A retroactive withdrawal (WC) grade due to the COVID-19 crisis.
  • An audit (AU) grade.

Forms for involuntary withdrawals and academic appeals are available under Student Forms on the Records and Registration website: https://www.montgomerycollege.edu/admissions-registration/student-resources/student-forms.html#appeals-withdrawals

The deadline to submit these requests is July 1, 2020.

Students should confer with an academic advisor or financial aid advisor prior to withdrawing from classes.

Retroactive Involuntary Withdrawal

From Eunice Akitobi:

Yes, there has never been a time limit. There is a time limit however on refunds with Involuntary Withdrawal. So while they can do the Involuntary withdrawal at any time, there is a two year limit on Involuntary Withdrawals with refund.
Refund Appeals still have a 45 day time limit after a semester ends.

Please direct students to the following:

Involuntary Withdrawal vs. Academic Appeals

We’ve seen an increase in students routed through academic appeals with situations (and supporting documentation!) that meet the criteria for an involuntary withdrawal. Please keep a watch for these students and redirect them to the involuntary withdrawal form, instead of the academic appeals form.

Note: As long as the student has supporting documentation, the involuntary withdrawal form will be reviewed regardless of the amount of time passed. Also, students are not required to withdraw from all of their courses. A written statement from the student and a letter from the doctor explaining why they are not able to attend the course is all AEM needs.

If you or your students have any questions, don’t hesitate to contact: Jamie Patel or Titiana Touma.

A withdrawal is considered involuntary if it results from one of the following situations described in the involunatry withdrawal form (posted under Forms on the Admissions page).

Admissions and Records Drop and Graduation Updates

Please let students know that they should view their drop deadlines for courses from their MYMC accounts. Summer courses have different refund/audit/withdrawal dates because of their staggered start times and days. While we have access to drop/refund dates in Banner, it is far better to have them know where to find this information now and in the future. Plus, it keeps us out of potential trouble.

Did you know that a General Studies Major can use the extra credits from a math or science course as credits toward their 24 elective credits? For example, a student takes a second lab science to fulfill the non-lab requirement. The extra one (1) credit will float down to the electives. Same is true for a math course with extra foundation credits. As always, let the official graduation audit from the records office be the final word.
