Winter 2025 Credit Limit & Process

Good morning all,

And here is an update to the update below.  The maximum hours in extended winter have been updated to 7, however there are two caveats to this:

  1. The SIS Team was able to set max hours to 7 for students, not on academic restriction and who were not registered for extended winter, and
  2. IT will work to set the max hours to 7 for students who were already registered for extended winter session and not on academic restriction, or already approved to take more than 6 hours.  I will update the discipline when this is done.

Keep in mind, counselors can use their professional judgement to allow students on Academic Restriction to take more than 6 hours in any session/semester – if you do not support, that’s okay, but please document it in SF.  It is very helpful if escalated up through the chair and to the Dean’s Office.  Overload requests are for students in Good Academic Standing, but if a student on AR is adamant about it, you can use that process.

  • There is no regular winter session this year, only extended winter session.
  • The regulation is new for this year and it appears that Banner has not been updated accordingly yet (it is still limiting them to 6 credits).

If requesting 7 credits for extended winter:
    • If you have a student who tries to register for 7 credits, you don’t have to give them a dean’s appeal referral in Starfish.
      • What you would do is put a note in Banner SPACMNT that the student can take up to 7 credits in winter.
      • Then have the student contact Raptor Central to have their credit limit increased for extended winter.

If requesting more than 7 credits for extended winter:

·         In order to take more than 7, the counselor would enter a Request to Exceed Maximum Academic Load (Dean of Student Affairs) referral in Starfish and the student would fill out the form that comes to the MC email account.

____________

Maximum Load in Winter Sessions including Overlapping Sessions

Students who are not on Academic Restriction (AR 7.3) or Academic Suspension (AR 7.4) may enroll a maximum of 7 credit hours across winter sessions.

Exceptions may be made for students in Good Academic Standing (AR 7.1) with the permission of Dean of Student Affairs.

Subject: Extended Winter Max Hours Updated in Banner

Good morning Counseling Discipline, Raptor Central, and Records and Registration,

As many of you already know, Academic Regulation 4.4 – Academic Coursework Load was recently updated through the Academic Regulations and Standards Committee and approved by Dr. Pollard.  In particular, while there are no credit courses offered during the three-week, winter session (remote operations), the hours in the five-week extended winter were increased to 6 hours; see below.

Now, students who are not already enrolled can register for up to 6 hours in the extended winter session.  SIS is working with IT to have the hours for those already registered in extended winter updated to 6 hours so they can add an additional course if necessary.  I’ll follow up on that once I know more on that group of students.

Regards,

Marcus

4.4 – Academic Coursework Load

  1. Maximum Load in Winter Sessions including Overlapping Sessions

Students who are not on Academic Suspension (AR 7.4) may enroll in no more than 4 credit hours during one winter session, not to exceed 8 credit hours across winter sessions. Exceptions may be made for students in Good Academic Standing (AR 7.1) with the permission of Dean of Student Affairs.

During remote operations, students may enroll in no more than 6 hours in the 5-week, extended winter session. Exceptions may be made for students in Good Academic Standing (AR 7.1) with the permission of the Dean of Student Affairs.

Subject: UPDATE - Winter Session Advising - Overload Requests

Good morning Counseling and Advising,

I’ve gotten a few questions directly about the max hours in winter, so I wanted to provide you with an update.  Unfortunately, it has not been approved yet, so students who would like to request more than 4 hours in winter will need to complete the request form after you send them the referral via SF.

Please let me know if you have any questions.

Marcus

_______________

I hope you all are well on what is forecast to be a beautiful Wednesday!  Quickly, you may have heard that the deans of Student Affairs put forward a proposal to change the max hours during the five-week, extended winter session from four credits to six credits, only while there is no three-week, winter session available.  It was presented to Academic Regs and supported, so it moves up to Dr. Rai.  Hopefully, we will know whether or not it is approved before winter registration opens up on October 19.

In the meantime, as you are advising students, you can follow the same process that is currently in place for those who would like to exceed four hours in extended winter, submit the referral via Starfish.  Feel free to share the proposed change with them if you’d like.  At this point, the deans of Student Affairs have agreed to delay making decisions on these requests until (1) the proposal has been approved or (2) registration opens up, whichever comes first.  If students go ahead and submit their requests, they will at least be in the queue should the deans need to make a decision.

Let me know if you have any questions!

Financial Aid - Winter/Summer Enrollment

Winter Enrollment:

  • Coursework taken during the winter term is added to spring hours for determination of aid eligibility in the spring. For example:   a student taking 3 hrs in 201925 and 3 hours in 201930 would qualify for a loan during 201930 (so long as all hours are part of their POS).

Summer Enrollment:
  • Summer I and summer II are counted as 1 semester (the same as fall and spring) so the hours are added together.
  • Loans are not available in the summer unless the student is registered for 6 hours in the summer AND completed 6 hours in the spring (this only applies to loan eligibility).
  • Pell eligible students can receive any portion of Pell grant that they did not use in fall or spring. So, if a student was ¾ time in the fall and full-time in the spring, they have ¼ Pell left for summer (for enrollment in 1-5 hours). If this student registered for 6 hours or more, they would get the remainder of their Pell and then be eligible for the additional Pell.
    • New regulations allow a student to get an additional amount of Pell grant in the summer if they enroll in at least 6 hours. So a student that was enrolled FT in fall and FT in spring would have no Pell remaining if they enrolled in 1-5 hours, but would be eligible for an additional Pell grant if they registered for 6 hours or more (up to 12 hours).

Winter Credit Max

Maximum number of semester hours a student may take during the two-week long class has been increased from 3 to 4.

Tuesday, October 27, 2009

Winter (1/5-1/21/09)- RD099

Prerequisite for Winter RD099 is an A or B in RD095, or Accuplacer reading score of 75 or above. Students who do not meet the prerequisite will be dropped from the course.

Students should be prepared for three very intense weeks (12 sessions, meeting 3 1/2 hours each morning) of reading.

This class needs sufficient registration to run, so interested students are encouraged to register before December 18.

To facilitate early RD099 Winter session registration, students who are interested can take their RD095 Final Exam early to be certain of their final grade. A final will be offered on Friday, December 11, time and place TBA.
