MATH 117 & Students in 412D, 412E, and 412F

Re: Hold

* remember to leave comment in Banner-SPACMNT

Departmental: This course is not required for your program (major). Please review the major requirements in the College Catalog or contact a program advisor.

The Biology Department asked that students in 412D, 412E, and 412F receive this registration error message when attempting to register for MATH 117.  For this student, the MATF is MATH 181, and there are no requirements where MATH 117 could be used. The MAJ override will allow registration.

Pam

Course Repeat - 2nd 7 weeks (Spring 2021)

We may begin to see students who are failing or did not complete a course the 1st 7 weeks and would like to enroll for the same course in the 2nd half of the semester. Here are the instructions from the Registrar how to assist students with the process.

Please direct students to email their campus registrar with the add/drop form.

Registration

https://www.montgomerycollege.edu/_documents/admissions-registration/registration-schedule-change-form.pdf

Please remind counselors, for students who are taking a course for the 3rd attempt, they must have the override in Banner. For 4th attempts, they need to complete an Academic Appeal.

Once we receive the form, we can then register the student for the course they want to retake.

Thanks!

Eunice

Same Day Registration Plan-Summer I 2020

Good Morning All,

Thank you for your messages regarding same day registration and the start of Summer I classes.  After confirming with the Collegewide deans, the plan is to allow a two day grace period for Summer I, so students can register on Monday and Tuesday without having to go to the department.  OTR and students having to go to department chairs to register late will start on Wednesday, June 10.  As you all know, students cannot register online the day that the class begins, so we anticipate seeing a high number of paper registration forms next week.

Please let me know if you have any questions, and feel free to pass along to your teams.

Happy Friday!  I hope you have a nice weekend.

Fall 2017: On-Time Registration Policy

·         Remember that MC follows the on-time registration policy.  Please note that effective Fall 2017, changes to this process have occurred.  Students must be registered for a course before its first meeting, unless students meet the criteria for one of the five exceptions to the policy and can provide supporting documentation:

o   Assessment: If a student is assessed by the department and it is determined that the student should be moved to another course.  Approval from department chair required.
o   Course cancellation: If a course is cancelled too late for the student to add another course on time.  Approval from department chair required.
o   College error: If there is a documented registration error by a College staff member.  Approval from campus registrar required.
o   Medical: If there is a documented medical emergency that prohibited the student from registering online or in person prior to the start of the class.  Approval from campus registrar required.
o   Add/Drop: Student was registered on time and dropped for reasons other than listed above and has been deemed academically ready to re-register in the course.  This exception mostly focuses on students who have attended class and purchased books, but were dropped for nonpayment and wish to re-register as a one-time exception.  Approval from department chair required.

Please note the addition of the fifth exception.  Students should go to the department chair or campus registrar based on the reason they are registering late.  If the appeal is approved, the student must bring back all documentation for processing to Enrollment Services within three business days of the approval.  All appeals must be received by the 20% course completion date.  Individual instructors should not be signing forms or providing approval for a student to register for a class late.  Any questions about this new process can be referred to your campus registrar or your department chair.

Fall 2013 Updates from the Registrars

Update provided by Ernest Cartledge on 8/26/13

If you have questions for your Campus Director of Enrollment Services and Assistant Registrar, please contact by email:

·        Takoma Park/Silver Spring- Marjorie.Davis@montgomerycollege.edu
·        Germantown- Sandra.Clark@montgomerycollege.edu
·        Rockville- Eunice.Akitobi@montgomerycollege.edu

*****************************************************************

Fall 2013 Registration:

·         All students are required to register online.
·         It’s essential that all necessary overrides are entered into Banner (PERMIT workflow) to allow students to register without barriers. Please follow departmental guidelines.
·         Students who may register in person: Early Placement, Underage, Student Athletes
·         Increase in credit hours should be noted in SPACMNT (a paper form should not be filled out).
·         Admissions and Records will not accept overrides on the add/drop form until the first day a class meets.
·         Waitlists will be cleared at 11 p.m. the day of the first class meeting.  If you want a copy of the waitlist, be sure to print a copy of it before 11 p.m.

You can find additional updates and changes on our Resources for Faculty and Staff web page:

*****************************************************************

Check your class rosters
·        Once a course begins, students are required to seek written faculty permission to register
·        Students are dropped for non-payment AFTER classes begin: August 29, September 5, and 12 at 6 a.m.
·        To avoid unregistered students in your class, print a new roster after 8 a.m. on each one of these dates
·        Check for students who are registered as “Audit”. If student wants to register as “Credit”, he or she must do so immediately (Schedule Change form attached).

If you are adding students to your class after 20% of class meetings, registration will require  additional signed permission from the Academic Dean.
*****************************************************************

Submitting Grades and Verifying Attendance

All original grade entries must be submitted through My MC.

·        LDA reporting is required for all U and F grades.  Last Date of Attendance (LDA) reporting is a required measure to ensure the College’s compliance with Federal Title IV funding (financial aid) regulations.   LDA should not be entered prior to reporting final grades, should not be used in the midterm grade field, and should not be reported for any grade other than U or F. All of these uses lead to difficulty submitting final grades.
·        NA should be used to report students who never attended your course.  Use of the NA placeholder is limited to the midterm grade roster  and should be used prior to 20% of class meetings to meet the Federal guidelines.  You will notice that once you report an NA for a student who has never attended your course, the student will be dropped from your class roster within 2-3 business days.  If you miss the 20% deadline, you will have to drop the student with a “W” (form attached). If you do not drop the student or the student doesn’t drop themselves, you should give the student an “F” at the end of the semester. Do not use “NA” as a final grade.

·        Midterm Grades due October 18, 2013

·        If you need to submit a grade change, we recommend sending an e-mail from your MC e-mail address to the appropriate campus for processing.  The e-mails should contain the CRN, subject code, course number, semester, student name, M-number, old grade and new grade:
o   Takoma Park/Silver Spring:  TPSSGrades@montgomerycollege.edu

************************************************************************

 Use of “I” Grade

It is imperative that “I” grades are not used as place holders for students who do not attend or have stopped attending class. You may access the “I” form at top of Final Grade Roster on MyMC (form also attached).

9.411     "Incomplete" Grade

A.    Normally, the use of an "I" grade is limited to bona fide emergency situations that occur at the end of a semester and that prevent students from completing all course requirements in a timely fashion to meet the final grade submission requirements of the Office of Admissions and Records.

B.    Given the emergency nature of the situation, either the instructor or the student in consultation with the instructor may initiate the request for an "I" grade. It is the responsibility of the instructor to specify the exact work to be completed to meet course requirements. The instructor and the student should hold a reasonable expectation that course requirements can be completed in accordance with C below.

C.    When the grade of "I" is recorded, the course work must be completed within the four weeks following the beginning of the next full semester unless the instructor notifies the Office of Admissions and Records that an extension has been granted by filing the appropriate form.

D.    The instructor may extend the completion date of any course by filing the appropriate form with the Office of Admissions and Records specifying the new date of completion. This date cannot be extended beyond the end of the next full semester following the award of the "I" grade

E.    The Office of Admissions and Records will record the grade as assigned by the instructor. If no grade is received by the specified date in either C or D above, a grade of "F" will be recorded.

F.  In accordance with AR 9.463, the grade of "I" will not be included in the cumulative quality point average. Quality point averages will be computed for all students without regard to (an) "I" grade(s).

FAUV035 and 055 Reminder

FAUV 035 will overide EN/RD assessment level
*Proof of C or better in EN comp course of 100 or higher
FAUV 055 will override all assessment levels
*Proof of prior degree

Student can show Admissions an unofficial transcript from an accredited US college or university. The AEM staff member will sign, date, scan into the system and it and give it back to the student (in case they need a pre-req override for something else).

Students can also print out an unofficial transcript in front of a counselor or AEM staff person. The person who witnesses this will sign, date and then send to Admissions for appropriate FAUV code to be input.

In SOATEST, the FAUV line applies to ELAP students only in one case.  FAUV 025 means the student is exempt from ELAS classes – no ELAS970, 980, or 990 required. It’s not an exemption from ELAI990 though!

SAT scores and Admissions

In case you were not aware of this:

As long as the student prints out a copy of their SAT scores from the college board website in the presence of a counselor, the counselor can sign it and submit to the admissions office. This score will go into Banner same day.

This will save a lot of time putting in specific overrides for classes when students meet SAT cut offs of 550 or higher.

Waitlist Reminders

Starting Summer Session I waitlists will end the first day of each class at 11pm.

*Notification to Students: Students remaining on a waitlist the last business day before a semester/term will receive an e-mail notification encouraging them to select a CRN with available seats. Due the concerns of some faculty members, students will not be advised to attend a first class if they are not already registered, recognizing that some students may still choose to do this on their own.

Process
- Students will be permitted to add themselves to the waitlist for a class through 11:59 p.m. the night before a class begins.
- Students receiving a notification that a seat has opened may add themselves to the class through 11:59 p.m. the night before the class. After that time, students will need to bring a copy of their notification and a Registration Form to register in person at Admissions and Records. Students must add the class before its first meeting or they may be denied approval to join by the instructor.
- Students may receive notifications that a seat has opened on the first day of class. Students must add the class before its first meeting or they may be denied approval to join by the instructor.

Additional improvements for summer and fall
- Admissions and Enrollment Management [AEM] will solicit feedback from Department Chairs, Faculty Councils and Deans after each registration period with the intent of continuing to improve the process for subsequent terms.
- AEM will send reminder e-mails to faculty prior to the beginning of each term with the above mentioned dates and reminders of how to print waitlists. AEM will NOT distribute waitlists. Use of the waitlist once a course begins is at the complete discretion of each faculty member.
- AEM will continue to update waitlist information and FAQs for students, faculty and staff on the following pages:
o Waitlist Information: www.montgomerycollege.edu/waitlist
o Faculty and Staff Resources
o Counselor/Advisor Resources
